This Privacy Policy explains how School Platform (“we”, “us”) handles personal information when schools and their communities use our student information system and learning management services (the “Services”). We designed the Services for specialised schools and built privacy and security in from the start.
For most student, parent, and staff data, the school is the data controller and School Platform acts as a data processor — we process that data only on the school’s instructions and to provide the Services. The school’s own privacy notice governs how it collects and uses that information.
Information we process
- Account data: names, email addresses, roles, and authentication credentials for administrators, teachers, parents, and staff.
- School records: enrolment, attendance, grading, timetable, billing, and communication data entered by the school to operate the Services.
- Usage and device data: log data, IP address, and basic device information collected to keep the Services secure and reliable.
How we use information
We use personal information to provide, maintain, secure, and improve the Services; to authenticate users; to send service-related communications; to process payments; and to comply with legal obligations. We do not sell personal information, and we do not use student data for advertising.
Service providers
We rely on a small set of trusted sub-processors to run the Services — for example, cloud hosting and database infrastructure, payment processing, and email or SMS delivery. Each is bound by contract to protect the information they handle and to process it only on our instructions.
Data isolation, security, and retention
Each school’s data is isolated in its own dedicated deployment, access is restricted by role, and data is encrypted in transit and at rest. We retain personal information for as long as the school’s account is active or as needed to provide the Services, and we delete or return it on request in line with our agreement with the school.
Children’s data
The Services process information about students who may be minors. We handle that information solely on behalf of, and under the instructions of, the school that operates the account. Parents and guardians should direct requests about a student’s data to their school.
Your rights
Depending on your location, you may have rights to access, correct, delete, or restrict the use of your personal information. Where the school is the controller, please contact your school; we will support the school in responding. You may also contact us using the details below.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, notify the school.
